Start with the file you need to receive
Before a client changes time clocks, identify the employee mapping, dates, units and columns your workflow needs. Open a sample CSV rather than assume any export is a direct import for your payroll provider.
Separate recorded time from payroll calculations
The primary Gates export reports reviewed worked hours. It does not decide compensable time, apply universal overtime rules or calculate taxes. Your payroll process handles those decisions and checks any additional work recorded outside the app.
Make period review repeatable
Choose the intended pay period, resolve open entries and verify corrections before approval. Records crossing a period boundary need explicit review; a neat total should not hide an incomplete entry.
Be deliberate about your account role
Use your own authorized account rather than a shared owner password. Client access, exported files and payroll records need handling appropriate to their sensitivity. The pilot does not provide a consolidated multi-client accountant dashboard.
Help the client buy what it will use
Compare the full software cost with the review effort required, then test a complete sample payroll handoff. Budget clarity, understandable records and predictable access are more useful than unverified feature promises.
Questions from small teams
Is there automatic multi-client payroll synchronization?
No. The verified pilot uses company-level accounts and a worked-hours CSV; direct payroll synchronization and a combined accountant portal are not available.
