Job tracking for small crews: know where the hours went

Tracking hours by job shows which customers and projects eat your time. Here is a simple setup for landscaping, cleaning, construction and service crews.

Keep it simple

Make one job per customer project or recurring route. Attach a job to a worksite if it always happens at one address. Ask employees to pick the job when they clock in so nobody fills in a timesheet later.

Review hours per job weekly, not at the end of the quarter.

Common setups

Landscaping and lawn care: a job per property or route.

Cleaning: a job per client site or contract.

Construction and trades: a job per project, with tasks like framing or punch list noted for the crew.

What to watch for

Archive finished jobs so the picker stays short. If employees hesitate when choosing, trim the list.

In Gates Timekeeping

Managers add jobs and tasks, optionally tied to a worksite, and employees choose the job at clock-in. Gates tracks hours only; it does not handle wages by job or invoicing.

Questions from small teams

Can employees pick a task when they clock in?

Tasks are listed under each job for reference. Employees select the job at clock-in.
